What it's forEvery repair has a number, a trade, a due date and a history, so nothing falls through the cracks and owners are told when it's fixed.
Who it's forStrata managers, maintenance coordinators, building managers and front desk.

Before you start

  • Trades are set up (Inbox & work › Trades).

Step by step

  1. Step 1: Create a work orderInbox & work › Work orders › New work order (or ⌘K › New work order). Enter the Title (e.g. Leaking tap in unit 4), building, lot, type, trade, Priority, Asset, Details, photos (up to 6) and Due date. A Template can pre-fill it. Press Create work order.
  2. Step 2: NumbersEach work order gets a number like WO-000123, running per firm. Type WO-000123, wo123 or #123 in the search to jump straight to it.
  3. Step 3: Duplicate checkAs you type, StrataWorx checks for similar open work orders. A red Possible duplicate banner appears; tick I've checked: it's a different problem, raise it anyway only if it really is different. Other open work orders at the lot or common property are listed too.
  4. Step 4: Due dates and priorityDue dates default from Business rules (urgent same day, this week 5 days, routine 14 days). Priority is Low, Medium, High or Urgent.
  5. Step 5: The listTabs: Open & in progress, Done, Cancelled, All. Filter by type, due date, trade, priority and asset; sort by newest, due date or title. Summary cards (Open, In progress, Overdue, Unassigned, Invoices to approve) filter too. Select several to change status or trade in bulk.
  6. Step 6: The boardSwitch to Board for columns Open, In progress and Done (last 14 days). Drag a card to move it. With the keyboard, focus a card and press Alt+→ or Alt+←, or use its move menu.
  7. Step 7: Inside a work orderTabs: Overview, Invoices, Quotes, Conversation (internal notes), Photos & files, Marketplace and Activity. Use Edit, the status box and Update status.
  8. Step 8: Finish or cancelSet the status to Done; the person who reported it is emailed if your firm has that setting on. Cancel work order (with an optional reason) withdraws open quote requests and stops the trade's link. Reopen work order brings it back.
Tips
  • Save as a template on a work order you raise often (gutter clean, quarterly fire check).

Common problems

“A similar open work order already exists…”

Check the existing one first. If it's genuinely a different problem, tick the box to raise it anyway.

A trade shows “(insurance expired: can't be assigned)”.

Their insurance or licence has lapsed. Approve their current certificate on the trade's page first.
